Cover Letters: What Not to Do

The No.1 mistake job seekers make is not sending a cover letter. A résumé without one demonstrates a lack of interest in the position. It forces the reader to decipher your skills and determine whether they match job requirements.

In today's economic environment, you can't expect the hiring manager to take the extra time necessary to make dubious connections between your experience and her needs. Regardless of how you submit your résumé, online or through snail mail, include a cover letter. Even the big job boards make it easy to attach one.

One hiring manager told me that if the candidate didn't at least take a stab at writing a cover letter she assumed they weren't really interested in the job.

Using "Dear Ma'am or Sir." Trust me - I am definitely one or the other. Instead, go the extra mile and research the name of the person to whom you are addressing the letter. Unless you personally know the hiring manager, begin the letter with Dear Mr. Smith or Attention Ms. Jones, followed by a colon, not a comma.

If you are unable to identify the hiring manager by name, address the letter "Attention Director of Marketing" or "Attention Hiring Manager."

Approaching the cover letter as though it was a fax cover sheet. A cover letter is not a cover sheet for your résumé. A well-written cover letter sells you and adds value to your résumé.

Not highlighting the specific experience and skills which relate to the position.

Your letter should tie your experience and skills directly to the job requirements. You cannot expect the hiring manager to make the leap between what he or she wants and what you have to offer. The cover letter should make it absolutely clear that you match their requirements. Pick three or four job requirements and directly connect your experience to them.

Focusing on unrelated experience or skills. The hiring manager is interested in your relevant experience. Unless ballroom dancing and donating blood are job requirements, don't mention them in your cover letter (or résumé.)

Including salary requirements or salary information. Salary matters are best discussed during the interview. Until you have a good understanding of the scope of the job, it is impossible to determine what an appropriate salary would be.

If you are asked to include your salary in the cover letter, address the issue with a sentence explaining that you will be happy to discuss salary during a personal interview.

Salary is used to weed you out, not screen you in. Both you and the employer can determine if you are a good match for the position once you have had a chance to meet, discuss the scope of the job and review your qualifications.

Writing a generic "one size fits all" letter. A canned letter is just that, and belongs in the can next to the hiring manager's desk. An effective cover letter encourages the reader to review your résumé. It is well worth spending a little extra time writing one.

How Important Are Cover Letters?

Employers receive thousands of job applications. The truth is that most applicants have the necessary educational qualifications and work experience. So why should they choose you over someone else? You just need to write a winning cover letter and resume.

How important are they?

By writing an effective resume cover letter, you can improve your chancing of receiving an interview. Studies have proved that the vast majority of resumes that land in the dustbin are those that weren't accompanied by a good job application letter.

Your cover letter is the first thing that reaches the hands of a potential employer. If it is impressive, they will take a closer look at your resume. If it isn't, they are more likely to toss your resume into the dustbin.

Here are three things to remember:

The purpose of your cover letter is to get your resume read.

Top 10 Don'ts for Resumes and Cover Letters

I look at resumes all day long. In my experience I have looked at technical, sales, finance, marketing, operations, new graduate and non degree resumes. No matter what field or what a candidate is applying for I see the same common mistakes almost daily. Below are a few that I must talk about and can't be ignored any longer.

1. Don't misspell the Company Name or put the wrong company name on the cover letter. - Cover letters are great. They explain why you are applying for the job and why you are the best fit. Cover letters also give you, the applicant an opportunity to explain bumps in your career history. BUT as an applicant please check the company name listed on your cover letter. Daily, I see cover letters written to the wrong company or with the company name misspelled. Please check your cover letter before submitting. This is the first impression that we have of you so make it a good one.

2. Don't submit a Task Resume - Resumes that tell me the tasks of your recent or last job versus what you accomplished. Many resumes state, "Responsible for.... "Or a laundry list of position responsibilities. While that helps me to understand what you were hired to do at your last job, it doesn't tell what you accomplished or what you could do if we hired you at our company. For example: You may have stated, "Responsible for the sale of XYZ product." Instead you can say, "Grew sales of XYZ product by X amount in a 10 month period" or "Top 25% in sales for XYZ product in fourth quarter 2010". Maybe you don't feel like you accomplished much at your last job. Believe me you did. Everyone does!

3. Don't send the Same Resume for every job - Sending a resume that does not tell me that you fit the job you are applying too. Applicants have a tendency to send the same resume to every job they apply for. That strategy works if the jobs you are applying for are identical and require the same basic qualifications, but they don't. Before you submit your resume, review the job description and basic qualifications. Make sure that your resume shows how you fit that role. Use keywords that are in the job description, in your resume to exemplify your fit for the job.

4. Don't apply with a Summary Note - How do I explain this one? Well, there are candidates who are submitting a summary of their history, like a letter instead of a resume. It's like a tease so that the recruiter will call you to learn more. I've seen this more and more often. While I do agree that it can be a great idea if you send it to a networking contact via email, it's not the best idea when you send it through the online application system. Most recruiters are inundated with thousands of resumes they need to review. They just don't have the time to ponder the possibility of a candidate having the potential of being a great fit. Now I don't disagree with the summary letter, but I believe that this type of introduction is best suited in a networking email, or as an introduction via LinkedIn.

5. Don't submit with Spelling Mistakes - Spell check, Re-read and have someone else read your resume so that it is clear of all spelling errors and mistakes. I cannot emphasize this enough.

6. Don't lie on your resume - If there is doubt when we read your resume, more than likely you will not be called

7. Don't submit a Long Resume - I don't really see the need for a 4, 5 or 6 page resume. Remember the resume is the intro to you. You want to put the most pertinent information about you and how you fit the role you are applying for on that resume. You don't want to tell me every single thing you have done. Recruiters just want the top line information. I would suggest no more than 2 pages for a resume.

8. Don't submit a Long Cover letter - Your cover letter should not be a page long. It should only be about to a third of a page. We don't mind that you are prolific; we just don't need all the fluff. If you write a really long cover letter, more times than most, it will not be read unless something in your resume requires the recruiter to do so.

9. Don't submit highly formatted resumes - Most job applications are online. Therefore you must cut and paste, or download your resume into the applicant tracking system that company provides. Unfortunately, most applicant tracking systems removed formatting that you have created for your resume and when we as recruiters receive it - it is a jumble. When you create you resume, ensure that you create one in TEXT format and one with minimal formatting. Minimal formatted would mean a resume without underlines, italics, and graphics. Use the TEXT or minimal format version of your resume when you apply online.

10. Don't forget to check for Syntax error. If you are in doubt about how to say it or if you're writing skills are not so great, ask for help in writing your resume. Again, this is your first impression to the potential employer so you want to make it good. Some may say that is lying but it's not. You are just getting help in formatting the verbiage in your resume. You are not lying about your experience, or what you have accomplished.

3 Costly Mistakes Job Seekers Make on Cover Letters

What's more important - having a good CV or a good cover letter? The answer? Both! Cover letters are just as important as CVs because a good cover letter gets your CV through the door and a good CV then goes on to qualify you for an interview!

If you know anything about my background, you'll know I fell into CV writing, cover letters and so on by accident while working in the media as the assistant editor of a magazine. Back then I had to recruit people (as well as everything else) and eventually I became so appalled by the standard of applications coming in to us that I decided to set up on my own and help people in this area. That was seven years ago and unfortunately not much has changed today.

A few days ago I posted a job advert for a freelance writing position and within 48 hours of the post, I received 27 applications. Of the people vying for my attention were communication professionals, ex-journalists, experienced copywriters, even PR professionals, but the majority of the candidates were awful - I could literally count the number of quality applications on just one hand - FIVE!

The other 22 applicants made the following three costly mistakes on their cover letters, common to many job seekers, which disqualified them from the race:

COSTLY MISTAKE NUMBER 1: Some cover letters are too long

Did I mention I had TWENTY-SEVEN applications to go through? Admittedly, 27 is relatively small in comparison to the fact that the average employer now has to sift through approximately 70 applications for each job advertised (in fact, I spoke to a business owner last year who had to choose one new secretary for their small firm from 400 applicants!).

Employers are busy - the last thing they want is to read a cover letter (or email) which goes on and on, especially where they have a lot to get through. Aim for no more than three-quarters of an A4 page (or approximately 4-5 paragraphs of text) and you should be fine.

COSTLY MISTAKE NUMBER 2: Some cover letters are too short

While too long is an issue that can cost you the job, a cover letter that is too short is also costly because it clearly shows you are not interested in that particular job, or that you haven't read the job description properly (otherwise you would have a lot more to say, wouldn't you?).

If an employer has taken the time to outline his or her requirements in a job description, the onus is on you to prove that you have what it takes for the job and your cover letter provides the perfect opportunity to communicate this. Don't waste this valuable space by writing a simplistic statement such as, "I would like to apply for the above role - please see my attached CV"; rather, address the main points of the job description, pulling on examples from your CV to illustrate your suitability, before referring the employer to the rest of your CV for more details.

COSTLY MISTAKE NUMBER 3: Some cover letters are generic

Of all three costly mistakes the 22 applicants made for this particular role, the worst one of all were those that submitted a cover letter that was... generic (*sharp intake of breath*)! Generic cover letters are a big headache to employers - in fact, it is almost an insult! If you think about it, if I, as the employer, has spent considerable time carefully thinking about what I am looking for and communicating this clearly in a job advert, the least you can do as a job seeker can do is show some equal consideration and submit a letter that is at least addressed to me!
